STEP 9: Creating a List View

When you click on pages from the navigation menu, you land on an object’s home page. On that object home page, you have options for the lists of records to view. These lists are called list views.
Each list view returns a set of records based on the filters defined. This list view shows all accounts that you have permission to view.
Some list views are standard, meaning they’re created by Salesforce and are available to all users. You can see the already existing List Views by clicking on the down arrow next to the Recently Viewed heading (Left hand side of the screen) and then selecting the list view that you want to see.
Actions you can take for list views are available in the List View Controls menu, accessed by clicking what looks like a little gear box on the right hand side of the screen, next to the “Search this list” box.

Exercise 6a – Creating a List View – Anglican Churches

  1. Click on Churches / Organisations.
  2. From List View Controls, select New. A dialog box appears.
  3. Enter a name for your list: Anglican Churches Only
  4. Choose who can see this list view: choose just you
  5. Click Save.
  6. The Filters panel appears on the right hand side.
  7. Click on the Filter by Owner box. Change the option from My Churches / Organisation to All Organisations. (This means it will look for all churches in the database)
  8. Click Done.
  9. Click Add Filter.
  10. From the pop up box select the field: Denomination.
  11. Keep the Operator as: Equals.
  12. Click on the Value option and select Anglican.
  13. Click Done.
  14. Click Save.

Exercise 6b – Change the fields you see on the List View

  1. From List View Controls, select “Select Fields to Display”.
  2. Select, Church / Organisation Name; Engagement Level; Phone; City; Type; Last Activity.
  3. Press Save.

Exercise 6c – Churches with Last Activity greater than 3 months ago or no activity.

  1. From List View Controls, select New.
  2. In filters for Filter by Owner change it to All churches / organisations.
  3. Click Add Filter
  4. Select the Field: Last Activity
  5. Choose the Operator: Less Than
  6. Type in the Value: LAST 3 MONTHS (In capitals)
  7. Click Done.
  8. Click Add Filter
  9. Select the Field: Last Activity
  10. Choose the Operator: Equals
  11. Value: Leave it blank
  12. Click save.
  13. Click Add Filter Logic
  14. Change it to “1 OR 2” (Capital letters important)
  15. Click Save.
To remove a filter, click   near the filter name. To bring the filters back click on the funnel icon.
FILTER LOGIC
To add logic that further refines which records appear in your list view, click Filter Logic. Filter logic enables you to use “or” and “and” statements. For example you may use this to say:
  • I want to see churches in this city (1) “or” this different city (2) and that have the church size equal to “mega church” (3). That would look like (1 OR 2) AND 3.
KANBAN VIEW
Kanban View gives you a great way to group your churches that you are looking at in a view. One of the best groupings for churches is their engagement stage. Kanban View enables you to drag and drop different churches around as well. So you can quickly edit their status.
Any field that is a drop down box can be sorted into a Kanban view. For Alpha one of the most important drop down fields is Engagement Level. You may want to be able to create a view and then sort them by Engagement Level or size of church or something else.

Exercise 7 – Changing to Kanban View
To select the Kanban View you have to first make sure you have a list view you are looking at. I’ve chosen
the Anglican Church view. Next click on the button that looks like this on the right hand side: It will give you an option to select your settings.
I’ve selected mine to:
  • Summarise by: I’ve left blank
  • Group by Engagement Level Check out the results by pressing save.
Remember you can drag and drop the different churches into different places.
