"How Can I Clean myAlpha Data?"

We always suggest that Admins clean their data in Salesforce as this is the primary location for your most accurate data, and will be used for reports and dashboards.

However if your NAO is not using Salesforce, or you wish to delete, edit or clean data in myAlpha to stop bad data repeatedly coming into Salesforce you can make a number of changes within myAlpha itself.

You can export myAlpha using Google Sheets explained ***here*** however you cannot edit the data in google sheet, you have to edit the data in myAlpha.

Courses / Alphas

Courses can be edited by going to Alphas -> All Alphas.
On this page you can currently filter the results by Date, User or Product, you can also user the search box in the top right, however this will only search the Title of the course.

Once you have found your desired course you can either:

  • Edit: opens an admin view of the course up
  • Trash: deletes the course (this sends it the the recycling bin so can 
  • View: opens the course as if you were the Course Admin. (please note you need to login to the user side too)

Please note: you can also filter by a user by clicking on their name on the right. I often do this to delete my Test courses easily.

Edit Page:

The Edit page has all the information that the user input when creating the course.

You can easily edit the Start Date, Course Question answers and the country/locality on the right side.

You can edit the Product and Language in the middle section, and link to the Course Admin user profile.

I find it very useful to edit the course as if i was the Course Admin, to do this click the Permalink near the top (make sure you are logged into the user side too).
You will then be able to edit all the details, as if it was your own course, such as Organisation, Team Members, Publish, Alpha Online and so on.

Users 

The user data is intentionally less easy to access, as such you have two ways to get to a users details. Either through the Course, as explained above, or through the Users section shown below:

Go to Users -> All Users and then search for the Users 'Username' or 'Email'. You will find no results if you do not get an exact match, as such i would recommend you go via the Course instead.

On the Users Profile you can see and edit a few things, such as their name and email. You can also generate new passwords, if they get locked out.
The bottom of the page also shows their linked Organisations and all their Courses.

Organisations

Organisations can be edited and merged, but not deleted.
Please note: users cannot edit their own courses, you have to do this for them.

You can organise the results alphabetically on the Name, Denomination, City or Country/Locality, or you can search via the search bar.

To edit click on one field and type/select another option.

To merge select two or more rows, and go the 'Bulk actions' dropdown and choose 'Merge'. You will then be given the option to merge the Organisations. The master row will be indicated, but you can change this in the dropdown. Any minor rows will be merged into the master.
Please note: merging moves the Alpha's and Users into the Master organisation and then deletes the minor row. There is no way to undo this, so please manually add the missing data into the master row (such as City) before commiting the merge.
