1: Tidying up Organisations

When tidying your Church / Organisations you will have to make the changes in myAlpha to connect the Church/Org to Salesforce. Once they are connected any changes you make in Salesforce will be shown in myAlpha.

The Organisation page will display the Orgs registered on your myAlpha. 

  • Those who's Name is written in blue text are linked to Salesforce (you can click the name to go to the Org in Salesforce). If the Name is written in black it does no exist in Salesforce.
  • Along the top you will see some filter options. In our Finnish example there is 'Missing' and 'Duplicates'. Clicking these will show the Orgs that are Missing or Duplicated Orgs (based off your Salesforce duplication rules). 

Along the right hand side you will seem some buttons and red text.

  • The red text shows errors in the Org, such as missing Denomination or incompatible Church Type. If the Org is connected to Salesforce you can update this in Salesforce and then press the 'Sync Organisations from Salesforce' button at the page top (it will sync daily, this just forces through a sync). If the Org is not connected to Salesforce you should be able to edit the values directly in myAlpha.
  • A 'Reassign Organisation' button will appear for any Org. This allows you to move users and Alpha's from one Org to another. This is very useful if you have duplicated data, or Churches with two names, such as 'HTB' and 'Holy Trinity Brompton'. Once you have emptied the users from the wrong Org you can delete it from myAlpha/SF (to stop users incorrectly connecting Alpha's to it.)
  • Delete will appear if the Org has no Users or Alpha's connected to it. We suggest you only delete one's you know are wrong, as it's possible your team added this Org to Salesforce, for instance because it runs a Marriage Course or attended a training conference.
  • A 'Create Organisation' button will appear if this Org is not in Salesforce. This normally happens if it is a duplicate that you team has deleted from Salesforce. As such we would recommend you re assign the users and Alpha (as explained above) to the correct Org.

After pressing the 'Reassign Organisation' button you will see a suggestion of which Org this should be reassigned to. 

  • This suggestion is based upon the name of the church, so in our example ESY shows 'ESY Church'
  • This does not help if the church has multiple names, like our "HTB/Holy Trinity Brompton" example. For these you have to check in your Salesforce for a church that at the same address - and then use the name of the SF Org to find it on 'Search Organisations' field (below).
  • Once you are happy it is correct press 'Use this one'. This will reassign all users and Orgs - note this cannot be undone (except manually) so make sure you are 100% correct before moving people around.
