2: Tidying up Users
Users can sometime no be created in Salesforce if they are duplicated of already existing users, or they are missing some data that blocks them.
As such to clean up this data we have a few options in Tools -> Salesforce Sync -> Export -> 2 Resolve Users:
- (if you wanted to, you can update these users data before you add them to Salesforce, such as updating the 'Role at Alpha' or adding their 'Organisation'. This is not always necessary, as you likely wont know this information)
- First we want to 'Patch' any that myAlpha has found, what it thinks, is the right person. Click Patch to update them.
Make sure to check that data is says looks correct) - Next we want to 'Create' the other missing users. This will create them in Salesforce, and likely duplicate your data. Don't worry, we will sort this next.
Please note: You can 'skip' users who you do not want to pollute your Salesforce data. We recommend you do this for your NAO staff and the Alpha International team.
To do this tick their name, or the left tick-box, then scroll to the bottom and set the action to be 'skip'.
Just remember that if the user is skipped you won't be able to test the Salesforce to myAlpha connection with that account.
Now that we've pushed the Users from myAlpha to Salesforce and therefore we've created a link between the two systems, we now might need to tidy up the possible duplicate users in Salesforce.
- We now check Salesforce for the User we've created.
- If there is only one user in Salesforce for that email, such as 'Hector.chan@alpha.org', we can be safe to know that there is no duplication.
- If there is now two (or more) users under the same email we need to merge these duplicates.
- To do this you want to merge all the content into the master record that you just created (you can tell which one is the master record as it will have content in the 'ADP Link' field.)
Please note: the 'ADP Link' field is not the actual link between Salesforce and myAlpha - it just indicates which User is linked to Salesforce. Some NAO's have been unintentionally moving this fields content to Users not connected to Salesforce. If your NAO has done this the work-around is to check the 'ADP Link DATE' field too - as this will show you when the link was made. Go by the date that is closest to today's date. - To do this click on the user, and notice the 'duplicate user' warning.
- You will then view the Duplicated users like below, select the 2 (or more) users you want to merge.
- On the next screen you have to tick 'USE AS MASTER' on the user that has the ADP LINK field (as mentioned above). If you do not do this you will have to repeat this whole process again.
- Next check each value and tick the field that is most correct.
- Press Next and Save.
